Job Title: Projects and Events Assistant

Salary: £29k + 6.25% discretionary bonus

Location: Burgess Hill

Our client based in Burgess Hill is looking to recruit a Projects and Events Assistant.

Responsibilities

  • To maximise opportunities to engage with stakeholders through presence at external congresses, targeted engagement, meetings and training events through timely organisation and administration.
  • To undertake research and make recommendations on where resources should be prioritised. Similarly, you will organise internal events including the company conventions, Town Halls and regular 'Lunch and Learn' sessions to a high standard in line with agreed deadlines.
  • To work closely with colleagues, and with external partners, to ensure projects and events are kept to schedule.
  • PA support to Senior Management is incorporated into this role with many external events and engagement originating from these positions. It is a requirement to support on-site for some events which may be across the UK & Ireland and will on occasion be outside of normal business hours.

External Events & Stakeholder Engagement

  • Undertake extensive research on external events and what events they should be attending, speaking, sponsoring or exhibiting at
  • Organising the client's meetings and training events in line with company policy
  • Coordinating event organisation including venue liaison, preparation of papers and materials, travel booking, supplier arrangements and other logistics
  • Supporting pre and post-event communications, including mailings to invitees and delegates, and summarising feedback
  • Desk research, and preparing briefing materials, ahead of external stakeholder meetings
  • Arranging meetings with senior external stakeholders
  • Updating records of stakeholder engagement and events on a database

Internal Events

  • Support the Employee Communication & Engagement Business Partner to develop series of events enabling engagement and collaboration across the business
  • Lead on organisation and delivery of internal events including Town Halls, Sales meetings and Annual Convention

General

  • Working closely with external agencies and other suppliers to ensure high quality and that deadlines are met on both sides
  • Monitor, respond and action incoming emails to shared departmental inbox in a timely manner
  • Processing sponsorships and purchase requisitions in accordance with company policy, in the main for those originating within Public Affairs department with cover to wider organization in times of absence of Customer Support Assistant
  • Support multidisciplinary teams, including all commercial and support functions, as a subject specialist and team representative
  • Identify and implement opportunities for improved processes for tasks within the department
  • Carry out all activities in accordance with local, global and national laws, regulations, guidelines, code of conduct, company policy and accepted standards of best practice and support understanding and implementation of these policies with internal teams
  • To be involved in projects, including those using agile and lean methodology at the request of line manager
  • To demonstrate a high sense of personal responsibility with proven ability to manage challenging priorities whilst meeting deadlines and remain flexible and adaptable
  • To provide training support to existing team members and new starters as requested by line manager
  • To consistently adhere to GDPR and data privacy policies and processes at all times
  • In conjunction with line management, to initiate and act upon a personal development plan
  • Maintain Job description to ensure it reflects current responsibilities and role requirements

Requirements

Essential:

  • Excellent organisational skills, demonstrating ability to prioritise workload, maintain quality and deliver effectively to deadlines
  • Proven experience leading event organization
  • Previous experience liaising with suppliers, including venues
  • Proven collaborative capabilities with both internal stakeholders and external partners
  • Excellent written and oral communication skills
  • Proven ability to think creatively whilst being detail oriented
  • Strong IT skills and willingness to be trained on and adapt to new systems
  • Demonstrated interest in current issues in health and technology
  • Proactive approach with proven ability to problem solve using own initiative
  • Demonstrated ability to work well on own as well as part of a team
  • Good communication skills with strong stakeholder management skills
  • Willingness to frequently travel within the UK & Ireland, and occasionally internationally

Desirable:

  • Experience of an administration role within a commercial organisation
  • Experience in a compliance-led regulatory environment
  • Experience working with the Google suite of programmes
