We are looking to recruit a Level 3 Sales Apprentice Administrator with excellent communication skills to support the Crawley College Apprenticeship Sales team. Day to day you will work to provide outstanding administrative support through assistance with apprenticeship recruitment, enquiries and promotion.

Working hours will be: 37 hours per week, 52 weeks per year

Monday-Thursday 8:30am-5pm, Friday 8:30am-4:30pm

Evening and weekend work may be required to support the team and attend events.

You will be a confident person who enjoys helping people with a great attention to detail and a desire to deliver exceptional customer service to our stakeholders, partners, apprentices and colleagues.

You will work with colleagues within Business Development and gain an insight into all elements of our work whilst having a strong focus on confidentiality.

As an apprentice at Crawley College you will be developing your own skills and knowledge within a sales administration role whilst being supported in a structured programme of training in Business Administration at Level 3, leading to a recognised Apprenticeship qualification.

Key Responsibilities:

Ø To provide first line response to enquiries from new and existing apprentices, stakeholders and staff using the appropriate channel including telephone, email, post and social media

Ø To co-ordinate the advertising of Apprentice job vacancies for employers and the placement of apprentices into work

Ø To keep the Apprenticeship Vacancy Matching online recruitment system up-to-date and manage the recruitment email inbox

Ø To ensure each stage of the recruitment life cycle is processed effectively and in a timely manner including all elements of application handling, vacancy promotion, eligibility checking and all associated tasks

Ø To liaise with employers to understand their requirements for Apprentices and match those requirements with suitable candidates from our internal student body and outside sources

Ø To liaise with employers and candidates to arrange apprenticeship interviews, follow up after interviews and ensure feedback is provided

Ø To ensure all eligibility and entry requirements are checked

Ø To continuously promote all apprenticeship vacancies both internally and externally

Ø To achieve Apprenticeship placement targets as set by your line manager

Ø To prepare sign up paperwork for Apprentice enrolments

Ø To assist in the organisation of meetings between Skills Advisers, employers, apprentices and our employer responsive provision staff

Ø To book meeting rooms, parking and travel for the Sales team

Ø To support the Skills Adviser team with meetings/conferences and produce minutes/outcomes

Ø To take minutes in meetings and preparing agendas

Ø To prepare documents for the Sales team and accounts that they manage using Word and Excel packages

Ø To prepare reports for management via CRM or any other internal database

Ø To set up and maintain filing systems for Sales and Business Development

Ø To manage the stationery requirements for Sales and Business Development

Ø To provide administration support to the wider Sales and Business Development team as agreed with the Workforce and Business Development Manager

Ø To help organise and take part in College promotional events e.g. Open Evenings, Career Fairs, Apprentice Information and Assessment days

Ø To undertake a range of duties, as instructed by the Workforce and Business Development Manager, that are relevant to the role

Ø To engage in learning and progress towards an appropriate work-based qualification Level 3 in Business Administration

Training to be Provided:

The majority of training will be completed with your employer at your place of work. You will work towards the following qualifications:

Business Administrator Level 3

Functional Skills in English and maths (if required)

Expected Duration:

18 months

Skills Required:

Microsoft Office Applications

Ability to communicate well to a diverse range of people at all levels, verbally and in writing

Ability to work of their own initiative and be reliable

Ability to work work well within a busy team

Great attention to detail

Exceptional customer service and interpersonal skills

Prior experience in customer service / dealing with customers directly

Experience working in an office / general administrative tasks such as having answered office phones

Prior experience in Sales or Recruitment

Qualifications Required:

Level 2 qualification in English and Maths (GCSEs grade C/4 or above) - Essential

Level 2 Apprenticeship in Business Administration, Customer Service or Sales - Desirable

Personal Qualities:

Proactive and confident

Polite and conscientious

Flexible approach

Ability to engage in learning and self motivate to achieve apprenticeship

Future Prospects:

This is a fixed term 18 month contract.
