Office Administrator

Essential Qualifications & Skills:

·English, Maths GCSE or equivalent

·Previous experience of reception/switchboard and general office administration tasks is essential

·Computer literate

·Competent in the use of general office equipment, including printers, scanners, fax machines, franking machines, and reception telephone systems (we currently use Navigate).

·Confident, personable and smartly dressed with excellent communication skills

·Well-organised and able to multi-task with the ability to work under pressure

·Must speak clear, fluent English (written and verbal)

Advantageous Qualifications & Skills:

·Experience using an MRP/ERP system (we currently use Microsoft Navision)

·Previous experience of an integrated online HR System (we use Cascade)

·Previous experience of supporting HR administration duties

Operational Tasks:

·Reception – all duties connected with the role of receptionist - Telephone and visitors. Ensuring that high standards are maintained to offer any caller/visitor a confident, friendly, professional (and discreet if required) welcome, ensuring that they are dealt with appropriately and efficiently.

·Full responsibility for the telephone system, ensuring you are familiar with its functions. Keeping all internal telephone directories updated and training new staff to use the system effectively.

·Ensuring that the full security of the premises is maintained at all times with regard to visitors entering and being escorted around the premises, following company procedures and instructions.

·Organising and booking travel, hire cars and accommodation for staff/customers with any visa application letters as required.

·Organising and booking first aid and forklift training / refreshers.

·Receiving and opening of mail, franking machine duties.

·Electronic scanning – (job files, accounts files, and other items as directed)

·Printing off purchase invoices and passing to the accounts department on a daily basis.

·Ordering/preparing refreshments for staff and visitors as required

·Canteen duties – Ensuring that the canteen, and kitchens are clean, tidy, with appliances in good working order and adequately stocked with crockery, utensils and refreshments.

·Keeping the canteen notice board up to date and organised.

·Assist with the Production / Office tours for interviews

The role will develop into doing more personnel support longer term to cover both Office Administrator staff when we are particularly busy and covering when they are absent
